We know what an anxious time this has been for all our amazing couples and we would like to say a huge THANK YOU for your patience and understanding.

In line with Government directives we have closed all our venues offices. Home working initiatives are in place and we are working hard to answer emails as promptly as possible.

Please understand that our current focus is on contacting those couples who were due to get married with us in the next few weeks to talk them through their options (detailed below), which can be rolled out to our July and August couples should this become necessary.

Planning Meetings


We can't wait to get back to doing what we do best; helping you plan and enjoy the Best Day Ever!

Where appropriate, our Wedding Specialists will get in touch to arrange your Planning Meeting via video call or telephone call. We'll get these arranged as soon as we can and look forward to chatting through your big day.

Viewings


We continue to monitor Government Policy on a daily basis but for now, we are not conducting any viewings of our wedding venues.

Please don't hesitate to express your interest in viewing our venues by dropping us a quick email; we'll make sure we get in touch as soon as we're able to conduct viewings again.

New Bookings


Until we've chatted to all the wonderful couples with upcoming wedding dates, we are not accepting any new bookings for any of our wedding venues.

We wanted to take this opportunity to keep you updated with how we’re changing the way we work to keep you safe and support all our amazing couples through this unforeseen set of circumstances.

Home Working
Our Wedding Venues are closed, and we’ve moved to home working for a core team of wedding specialists who are working tirelessly to respond to your emails as quickly as possible.

This has presented some challenges which I am sure many of you can empathise with, as we all try to embrace home working, whilst also juggling the needs of our children, partners and wider families.

We are sorry that we are unable to man the telephones. We really appreciate your understanding and thank you again for the many kind messages of support we’ve received on email.

Staying in Touch
The best way to get in touch with us is by emailing your venue as normal.

These mailboxes are being regularly monitored and you’ll definitely get a response.

Because we’re all working from home, it’s really helpful if you include your Wedding Date in the subject line of any email, this will help us immensely and make it easier to get back to you quickly.

Customer Service Emails
Some of the emails you receive during your wedding planning are automated, please forgive us if you receive one of these automated emails, which feels inappropriate just now. We’re trying to adapt our bespoke Wedding Planning software as quickly as possible, but it wasn’t designed to accommodate this very unusual scenario.

Planning Meetings
For our summer couples, we’re currently looking into the best way to remotely conduct your planning meeting and we be in touch about this soon.

In the first instance it’s likely you’ll receive an email asking how and when you’d like to chat. We should be able to offer a video call using Zoom or a more traditional lovely long chat on the phone.

We’ll chat through all the details of your day; we’ll ask which suppliers you’ve booked and work with you to plan your amazing day.

COVID-19 Response Policy

Thank you for your patience and for giving us a little time to put together our COVID-19 Response Policy.

Apologies for the length of this document and its apparent formality but we wanted to set out all the options available to affected couples as clearly as possible, so that you can select the best option for you, with all the facts to hand.

Our Current Position 

We continue to monitor Government Policy on a daily basis and we will react as quickly as we can to any changes.

On Friday 20th March 2020, the Government advised we are closed until further notice. The Prime Minister said the Government would be assessing the situation around pubs and cafes and other hospitality closures every month "to see if we can relax any of these measures".

We will continue to push for clarity on your behalf but as it stands, there is a clear indication that we may be closed until 31st May 2020, in line with the employee support measures that have been put in place.

We will review our re-opening date monthly, as per government directives.

With that in mind, we will swing into action with a COVID-19 Response Policy for all couples who are due to get married between 21st March 2020 and the 31st May 2020 (detailed below) and launch a separate Rolling COVID-19 Response Policy.

Why Do we need a Rolling COVID-19 Response Policy?

The Rolling COVID-19 Response Policy allows for the possibility that we will be reopened by the Government on 1st June 2020 and able to host June weddings as planned; whilst at the same time offering comfort to our June couples, who we appreciate need a back-up plan in the event that this is not the case.

Initially, we will concentrate on contacting all those couples with wedding dates from 21st March 2020 to 31st May 2020 and offering them the options detailed below.

We will then move straight onto contacting couples with wedding dates from 1st June to 30th June, in chronological order, to offer them the same options detailed below, which would be activated in the event that we are unable to host the original June wedding date as planned, due to Government directives keeping us closed.

We will continue to monitor Government Policy and ‘roll’ this policy forwards on a month by month basis should this become necessary.

COVID-19 Response Policy for Couples with a Wedding Date from 21st March 2020 to 31st May 2020.

Please permit me to briefly outline your options:

OPTION 1 - Make a Claim on Your Wedding Insurance

We understand, that following our closure by the relevant authority, both John Lewis and Debenhams wedding insurance policies may now pay out. We strongly advise that you explore options with your Wedding Insurer who is best placed to confirm whether you can make a claim. 

If your claim is successful this is the best option for you as you could reclaim expenses and cancel your wedding; your wedding suppliers would also be appreciative of this as they may not be available on a different date. Many of your wedding suppliers are self-employed individuals who will be amongst the hardest hit in this crisis. You also gain the freedom and flexibility to rebook your wedding when you’re ready.

Should you have been previously advised that your policy does not cover you, we would urge you to recontact your insurer as their position changes daily.

OPTION 2 - Postpone Your Wedding

If you cannot claim on your Wedding Insurance, eligible couples can postpone their wedding to any available date up to 30th June 2024, at The Ashes Barns, Pendrell Hall or The Mill Barns.

OPTION 3 - Receive a Gift Voucher

If you cannot claim on your Wedding Insurance and you do not wish to postpone at this stage, eligible couples can opt to receive a Gift Voucher for any monies paid to date. This Gift Voucher can be used at any Best Day Ever Venue to secure a wedding date prior to 30th June 2024. T’s & C’s apply and are detailed below.

We fully understand how stressful this situation is for our wonderful couples. With that in mind, we will not be allowing any new client bookings at any of our venues until all existing eligible couples have had the opportunity to speak with us and advise which option they’d like to select.

How Postponement Works for Couples with a Wedding Date from 21st March 2020 to 31st May 2020:

Couples will be contacted, by telephone, in chronological order (closest wedding date to furthest wedding date.)

Once contacted, please advise which of the three options outlined above you are selecting.

In the event you chose to postpone your wedding (Option 2), you will have a finite amount of time in which to select and confirm your new wedding date and venue. This is so that we can offer this opportunity to all affected couples as quickly as possible.

If we cannot get hold of you, we will move onto contacting the next couple and then we will try you again.

Telephone calls will be made between the hours of 9am and 5pm, Monday to Friday only. Please be mindful that in line with new home-working initiatives the caller ID may be withheld. 

A dedicated Response Team has been assigned the task of contacting affected couples. The Wedding Specialists will not be able to assist you and we ask for your patience as we work methodically and fairly through eligible couples. This process may take some time. You have our commitment that we will go as fast as we can.

You can select any available date up to 30th June 2024, at The Ashes Barns, The Mill Barns or Pendrell Hall.

Please be advised that any existing booking for a date in the future will not be altered in any way. 

We won’t charge an administration fee for moving your wedding date. 

We will refund all accommodation bookings for your original date, to whomever made the booking, in due course. Again, this may take some time, as we focus initially, on contacting all affected couples regarding their wedding date.

Our catering partners, Jenkinsons, will transfer any monies paid over to your new booking. Please understand that they may be unable to honour your catering quote dependent upon how far into the future you move your wedding date.

If you select a wedding date where the Venue Hire Price is less than your original date, we will refund you the difference within the 7 days following your new wedding date subject to accounting for any extras (such as drinks) which you have chosen to add to your account. 

If you select a wedding date where the Venue Hire Price is more than your original date, you will need to pay the difference eight weeks prior to your new wedding date at the same time as making any final Venue Hire Payment.

How Gift Vouchers Work for Couples with a Wedding Date from 21st March 2020 to 31st May 2020:

We understand that this is an incredibly uncertain and worrying time for everyone. You may want or need time to pause. We want to support you as much as we can, we understand that some of our couples may have much more pressing concerns at this troubling time.

You can opt to receive a Gift Voucher for any monies paid to date. This Gift Voucher can be used to secure a wedding date at any Best Day Ever Venue for any available wedding date up to 30th June 2024.

The Gift Voucher is non transferable and non-refundable. It cannot be exchanged for cash in part or full and is valid for a single transaction only.

The Gift Voucher can only be used by the named individuals on your current signed Booking Form.

The Gift Voucher can only be used to secure a wedding date and any goods or services associated with that wedding date.

If you opt to receive a Gift Voucher:

The Gift Voucher will be issued digitally and will form a binding contract.

We will refund all accommodation bookings for your original date, to whomever made the booking in due course. Again, this may take some time, as we focus initially, on contacting all affected couples regarding their wedding date.

Our catering partners, Jenkinsons, will also issue a Gift Voucher for any monies paid. 

At the point you use the Gift Voucher and select a new Wedding Date in the future:

Your Gift Voucher is valid for any available date at any Best Day Ever Venue to secure a wedding date prior to 30th June 2024.

Dear Couples,

thank you for your patience and understanding during this unprecedented period of uncertainty. Your many kind and supportive messages have been greatly appreciated.

We are absolutely delighted with the Government’s decisive action this evening.

Now that we have finally been closed, (an outcome we have been lobbying for,) we can, over the next few days, release full details of the options available to couples who are due to get married at our venues in the next 3 months.

Please appreciate that up until this point we were legally bound to stay open and contractually obligated to offer you the service you have paid for. Had we closed our venues without direction from the Government, our future was bleak.

We now have a clear way forward.

Please Be Patient - If your wedding date is within the next few days, you’ll get a telephone call from us tonight.

If your wedding date is a little further ahead, please allow us the next 48 hours to finalise our plans before we make contact on Monday, by email in the first instance.

We are reacting as quickly as we possibly can, to this rapidly evolving situation. We ask for your patience and understanding. To say these are difficult times is a gross understatement.

Dear Couples,

Firstly, allow me to assure you that your calls are being listened to and we are reading every one of your emails. Our hearts are breaking as we learn of the catastrophic impact that the government’s social distancing advice is having on your wedding plans.

The Government has placed us in an impossible position. Whilst they have advised people to avoid gatherings in smaller public spaces such as pubs, cinemas, restaurants, theatres, bars, clubs; they stopped short of closing these establishments.

The Government have not banned weddings, they have not put any legislation in place to close wedding venues. The Local Authority Registrars are still instructed to attend and perform your ceremony.

We are seeking legal advice daily, on how best to deal with the current situation in a way that is as fair as it can be to you and ensures a future for our company and our valued employees.

As it stands at 8am today, 20th March 2020, that advice is that we must plough on. We must remain open and offer you the service we are contractually obligated to offer.

If we close our venues without guidance from the Government, our future becomes incredibly uncertain. You need complete confidence in our ability to host your wedding at a date in the future and so we all need to wait.

We anticipate that the measures expected to be announced later today to support businesses will give us enough clarity to confidently trigger an action plan for the coming weeks which would involve the postponement of your wedding date.

For those of you with weddings today and in the days ahead, we are here for you. We will do whatever we can to make your day a beautiful celebration. Precious time spent with those loved ones and friends that can be there for you.

We would urge you to make contact with your wedding insurer and explore what options you have with them. Every policy is different and your specific set of circumstances may trigger the option to make a claim and cancel your wedding.

This is now a personal plea to work with us, to give us the time to find a way forward. Be kind to our staff, many of whom are struggling to contain their emotion as they learn of your difficulties.

Please understand that we must focus our attention on those couples due to get married in the next few days and it may not be possible for our teams to respond to you personally until next week, should your wedding date be further into the future.

As your wedding date approaches, we understand that you may have concerns about how the Government’s steps to tackle the Coronavirus pandemic, might affect your wedding day plans.

Firstly, allow us to reassure you that we are fully committed to ensuring your wedding takes place and is the joyous celebration you want it to be.

At the present time, the government have not imposed any restrictions which affect our ability to deliver the outstanding service you are looking forward to on your wedding day and we look forward to welcoming you and your guests as planned.

With twelve years’ experience in hosting weddings across three award-winning venues, our company structure has never been stronger and our staffing levels allow for enormous flexibility. The passion and commitment of our staff to deliver an amazing experience on your wedding day remains a constant you can rely upon.

Our Promise To You

We appreciate that the situation surrounding the Coronavirus is changing rapidly. We would like to take this opportunity to outline your options if Government policy is introduced which would prevent us from hosting your wedding.

If the Government introduce legislation that prevents us from being able to deliver our service, we will work with you to rearrange your wedding date to a date in the future. In this circumstance:

• We won’t charge an administration fee for moving your wedding date. 
• You can swap to any of the wedding venues within the Best Day Ever Venues group.
• We will refund all accommodation bookings for your original date, to whomever made the booking, upon receipt of a signed booking form for your new date.
• If you select a wedding date where the Venue Hire Price is less than your original date, we will refund you the difference within 14 days of your future wedding date.
• If you select a wedding date where the Venue Hire Price is more than your original date, you will need to pay the difference eight weeks prior to your new wedding date.

Please allow me to reiterate that the current position is business as usual and we look forward to welcoming you and your guests on your wedding date.

Should you opt to cancel your upcoming wedding, then as per our terms and conditions, your venue hire fee is non-refundable.

Should you be forced to cancel your upcoming wedding due to illness, we would direct you to your wedding insurance provider who is best placed to advise on whether your set of circumstances would allow you to make a claim.

How Much Does It Cost? - From as little as £60 up to £300 for comprehensive Cover.

How Do I Choose Which Policy? - It's a great idea to work out how much you are going to spend on each wedding item, then find a policy which covers everything on your list at the right amount for each item.

We can't advise which policy to take out but we can tell you it's a great idea.
